Manage tasks
Your workspace role defines the authorities you have in relation to tasks. For example, we must be assigned the Workspace Manager role to create a task. Use the following table to understand your authorities, based on the workspace roles we are assigned:Tasks and roles when working with tasks

- Creating tasks
Create tasks within a task group so that contributors can do work in Management Center under the task. Try to combine the work assigned to a contributor into one task where possible.- Changing tasks
We can update tasks that were already created. For example, we can update the task to include new contributors.- Deleting tasks
When you delete an inactive task, the task is deleted from the system. We cannot delete a task once the task has been activated.- Completing tasks
If you have completed all of the content changes in a task, we can mark the task as completed.- Approving and rejecting task groups
If we are a Workspace Task Group Approver, we can approve or reject task groups when all of the tasks in the task group have been completed by the Workspace Content Contributors.- Reactivating tasks
We can reactive tasks that are in the completed state. Once reactivated, tasks are changed from a completed state to active, and moved to the To Do list.- Viewing workspace tasks and task details
Tasks provide a separation of responsibility. Each task is an individual unit of work that contributes to the completion of an activity. We can view tasks assigned to you in the Management Center.- Viewing workspace task details
Each task is an individual unit of work that contributes to the completion of an activity. The Workspace Content Contributor and Workspace Content Approver can view the tasks and task details assigned to them in the Management Center.- Searching for tasks
After creating a task, we can search for tasks in the Workspace Management tool. We can search for tasks by using quick search or advanced search.- Working on tasks
If workspaces are enabled, we must be in working mode before we can work on activities that were assigned to you in the Management Center. Once in working mode, any changes that are made to the store in the Management Center, are made only within the workspace to which the task belongs.- Adding comments to tasks
We can add a comment to a task as a reminder to finish something later, a note to state what actions you performed, or extra instructions. All comments are added to the task group, not the individual task.- Viewing task comments
View comments from other workspace managers and contributors to track details about changes made under tasks.- Viewing task changes
All changes made to business objects within a task are listed in the History pane as either create, modify, or delete history records. We can view a list of changes made to task by viewing the History tab.- Comparing task changes with approved content
All changes that are made to business objects within a task are listed in the History pane as either create, modify, or delete history records. Comparing a modified business object with the approved content displays both versions of the object side by side for quick comparison.- Undoing task changes
Task group approvers can undo changes that are made under a task. Undoing task changes gives task group approvers more control over how they can manage tasks and task groups.
