Searching documents and folders
Document Manager allows users to search for documents within the working library. Although the search function looks through folders for documents, search results do not include folders, only documents.
Before you begin
Ensure that you have implemented the correct procedure for maintaining your search index. Refer to the Maintaining your search index topic for more information.
Searching documents in Document Manager
Users can search Document Manager for certain documents based on the document content, author, or other document attributes. Users can perform a basic search that searches for documents only in the contents of the current folder using the default settings of that folder. If users want to narrow their search, users can perform an advanced search.
Note: When typing the keywords for your search, be sure to use a wildcard with partial strings. For example, a search for "HTML" and "HTM*" returns a file with the word "HTML" in the document. The same search with partial strings and no wildcard, such as "HTM", does not return that document.
Performing a basic search
Follow these steps to perform a basic search:
- From the folder that you want to search in, type your keywords in the Search in current folder for field.
- Click the search icon to begin the basic search. The search results display at the bottom of the screen.
- Use the arrow buttons to navigate the search results pages.
Performing an advanced search
Follow these steps to perform an advanced search:
- Click Advanced Search.
- Type your keywords in the Search for field.
- Select All folders to search all the folders in the working document library, or select Current folder and subfolders to only search for documents contained in the current folder.
- Select one of the following options from Include in search:
- Document content and properties: This option searches the full text of the documents, as well as the document properties.
- Document title: This option searches document titles.
- Author: This option searches document authors.
- Description: This option searches document descriptions.
- Select the document language from the Language of search string drop-down list to narrow your search to a certain document language. The language parameter is for informational purposes and searches and does not affect the content of your document.
- Click Search to begin the advanced search. The search results display at the bottom of the screen.
- Use the arrow buttons to navigate the search results pages.

Document Manager search function
The Document Manager search function works on the text of the documents, as well as the metadata for documents and folders (for example, Title, Description and/or Author) within the working document library. Users enter text in the Search in current folder for field, much as they would to perform a search on the Internet. Users can only search for documents that are contained in the document library they are working in.
The search index will update itself to include new documents at certain intervals. The minimum time between search index updates is 15 minutes.
Searches use:
- Free text (users enter text or a phrase without any modifiers)
- Internet-style plus ( +) and minus ( - ) symbols (+World +Wide +Web -spider searches only on "World Wide Web" and not "spider web")
- Internet-style double quotes ( " ) for phrases ("World Wide Web")
- Trailing wild cards (Adam* brings search results of Adam, Adams, Adamson, etc.)
Note: Document Manager content cannot be searched through the normal WebSphere Portal search function.
