Sending a link to a document in Document Manager

Send an e-mail link to a document.

If the instance of Document Manager has this feature configured, we can send a link to a document, folder, or view in an e-mail. This feature is useful for notifying team members that a document is ready for review, or that changes occurred in a document. Users who receive a link must log in to Document Manager to open the document, folder, or view.

Contact the administrator to be sure that this feature has been configured. The send a link option is available only if the Document Manager portlet is configured with a mail server. When sending links, be sure that the e-mail address of the sender has been set, as well as the e-mail address of the recipient. If the e-mail address of the sender is not specified, the e-mail will not be sent, and an error message will be displayed.

  1. Click the name of the document you want to link to. A window with a read-only view of the document opens.

  2. Click More actions and select Send Link from the drop-down menu. A window opens so that we can specify which users will receive the link.

  3. Click Add User to specify additional recipients of the link. Use Directory Search to search for and select one or more recipients. Click OK when you have finished selecting recipients.

  4. If you wish to remove a previously identified recipient from the list, select the name of the recipient, then click Remove.

  5. The Subject field is prefilled, but we can edit it to modify the subject line of the sent e-mail.

  6. Click Send Link to send the link, or Cancel to exit and discard any changes you made.

To start an online chat with another user, click the person link for the person you want to chat with. A person link is displayed as an icon that indicates the online status of a user, followed by the user name. The icon changes in real-time to reflect the current online status of the user.
