A Document Manager element stores a reference to a Document Manager document. A Document Manager element is stored in an authoring template, site, site area, content item or Document Manager component.

A Document Manager element can:

  • Display the content of a Document Manager document within a presentation template or element design.

  • Convert the content of a Document Manager document to another file type and then display this within a presentation template or element design.

  • Display a link to a Document Manager document within a presentation template or element design.

  • Display attributes of a Document Manager document within a presentation template or element design.

To use the Document Manager element, a document must first be created in Document Manager. Web Content Management is not used to edit Document Manager documents.

Document Manager documents can only be referenced from the same WebSphere Portal server that Web Content Management was installed on.

 

Storing a file in Document Manager versus storing a file in Web Content Management

A file can be stored both as a document in Document Manager or as an element, such as a file resource element, in Web Content Management. You only store a file in Web Content Management if it is to be used only by Web Content Management. If other portal modules require access to a file, or if we need to use a feature provided by Document Manager, then store the file as a document in Document Manager.

 

Workflow controls

The workflow features in Document Manager and Web Content Management are completely independent. You should use the Document Manager workflow to approve the design and content of the Document Manager document, and then use the Web Content Management workflow to approve the publication of the Document Manager document on our web site (if required).

 

Access controls

When creating a Document Manager element, a User will only be able to select those Document Manager documents that they have access to in Document Manager.

Users must also have access to:

  • The Document Manager root. To provide this access, access the Manage Document Libraries page, and click Set Access on Root.

  • The specific Document Manager library they wish to select a document from in the Manage Document Libraries portlet.

The Document Manager document selected in the Document Manager element will only be rendered if the User viewing the Web Content Management page has access to the Document Manager document in Document Manager.

 

Reference Document Manager elements in presentation templates and element designs

The Document Manager component tag are used to reference Document Manager elements in presentation templates and element designs.

If you use a personalization tag to reference Document Manager content displayed in a personalization rule or content spot, you will only be able to retrieve attributes about the document. To display the document itself use a Document Manager tag with type="personalization".
