Workflows and Security

Access to IWWCM Items in the Authoring Environment, and items rendered in the "live" web site, can be restricted to different users. The verification and eventual approval of IWWCM items are controlled using Workflows.

 

Item Security

Every item created in an IWWCM environment can be assigned one of the following access levels:

Live Allows a User or Group to:

  • view an item in the "Live" web site.
Read Allows a User or Group to:

  • view an item in an IWWCM environment.

  • view an item in the "Live" web site.
Edit Allows a User or Group to:

  • Edit an item.

  • view an item in an IWWCM environment.

  • view an item in the "Live" web site.
Delete Allows a User or Group to:

  • Delete an item.

  • Edit an item.

  • view an item in an IWWCM environment.

  • view an item in the "Live" web site.

 

Workflows

Workflows are used to manage the review and approval process of IWWCM items. Workflows are divided into Workflow Stages that define:

  • The type of role Users and/or Groups have (e.g. editing or approving).

  • The default actions that will occur when entering or exiting a Workflow Stage.

The access that is set in a Workflow Stage does not overrule an item's own Security. This means that if a User has Read/Edit access to an item, but only Read access in a Workflow Stage, they will still be able to edit the item.

As a rule, the minimum level of security should be set at the item level. Additional access can then be granted within different Workflow Stages.
