Administer Libraries

Overview

A Library provides the services of an Enterprise Content Management (ECM) system to Communities.

By default, Libraries are enabled and Linked Libraries are disabled.

Type of widget ECM System
Linked Library IBM FileNet P8 5.2.0 or later with IBM FileNet Collaboration Services version 2.0 or later.

...or...

IBM DB2 Content Manager 8.4.3 with FixPack 1 or later with IBM Content Manager Services for Lotus Quickr .

Library IBM FileNet P8 5.2.0 or later with IBM FileNet Collaboration Services version 2.0 or later.

The Library widget feature is installed during the installation of Connections. Changes to library-config.xml affect the Library widget.

If Linked Libraries are enabled, users can add Linked Library widgets to their Communities. Files and folders within a Library are stored and managed on the ECM system, independently of Connections. Users who have access to the Community must also have access to the ECM system before they can use the Library. Unless you configure single sign-on, users must authenticate to the Connections system, and to each ECM system separately.

External User Access

If Connections Content Manager (CCM) is used in the deployment and external user access is enabled, the URL to FileNet Collaboration Services, by default...

...must be blocked from external users by, for example, setting rules in a security proxy such as Tivoli Access Manager, or by giving external users access access only to a separate HTTP server that lacks a mapping for the Library or FileNet Collaboration Services (/dm/*). Test the block by browsing to the FileNet Collaboration Services URL...

...from the network used by the external users. This network can be a VPN for the visitors or just the public internet. If the server returns a valid response when accessed from a network used by the visitors, you did not correctly block visitors from accessing CCM. If the URL to FileNet Collaboration Services (/dm) is unblocked, external users might be able to directly access content in Libraries in public Communities. When external users are configured for IBM Connections, and CCM is enabled, do not add CCM Libraries or Linked Libraries to communities to which external users have access. If a CCM Library is added to such a community, external users cannot see library content. Instead, they see an error in the Library or Linked Library widget.
