Locking and unlocking a document

Lock a document to prevent editing, or unlock a document.

Locking a document prevents others from changing the document. If document locking is turned on by the administrator, when a document is being edited, it is automatically locked to prevent edit conflicts. If workflow is enabled, the document is also locked when it is submitted for approval, and automatically unlocked if approved by a user (reviewer) with the proper authority. When you save a document as a public version, or when the document is approved, it is automatically unlocked. We can see which documents you currently have locked by opening the Locked Documents view. Documents that are locked are indicated by a lock icon and submitted drafts are contained in the Submitted Drafts view.

To lock or unlock a document, complete the following steps:

  1. Select the check box next to the document you want to lock.

  2. Click More Actions, then click Lock.

  3. To unlock the document, select the document check box and then click More Actions > Unlock. Note that we cannot unlock a document while a draft is pending approval.

Users can override a lock only if they have at least User-level access in the Portal group to which the lock owner belongs and at least Manager-level access to the current library. If the user does not have the correct authority, the document remains locked.
