How do I share files?

You can share your files with specific people or make your files public. When you upload a file, you are the file owner and the file is private. You can share your files or make them public as you upload them, or after you upload them. You can also share files that have been shared with you.

If a file is public anyone who is logged in can see it, share it with people, add it to a collection, comment on it, and get an e-mail when someone edit it or comments on it.

People with Reader access can read, comment on, download, and recommend a file. Readers can also add files to collections that they are Contributors of, be notified of changes to files, and share files with other people.

People with Editor access can read, edit, comment on, download, recommend, upload a new version, and set properties on the file. Editors can also add a file to a collection of theirs, be notified of changes to the file, share it with other people, or delete versions of it.

To see who has access to your files, open the file page and click the Sharing tab at the bottom. Do any of the following:

To share a file when you upload it

  1. Click Upload a File.

  2. Type the file path or browse for the file.

  3. Type a file name.

  4. Type tags, separated by a space.

  5. Select People (give specific file permissions to others).

  6. Select Reader or Editor to assign access.

  7. Type a name or e-mail address and select the person you want to share the file with. If the name does not display, click Search the to search for them. Click the people icon icon to select people you have recently shared files with.

  8. Click Upload.

To make a file public when you upload it

  1. Click Upload a File.

  2. Type the file path or browse for the file.

  3. Type a file name.

  4. Type tags, separated by a space.

  5. Select Public (visible to everyone).

  6. Click Upload.

To share a file after you upload it

  1. Open the file page.

  2. Click Share.

  3. Select People (give specific file permissions to others).

  4. Select Reader or Editor to assign access.

  5. Type a name or e-mail address and select the person you want to share the file with. If the name does not display, click Search the to search for them. Click the people icon icon to select people you have recently shared files with.

  6. Click Share.

To make a file public after you upload it

  1. Open the file page.

  2. Click Share.

  3. Select Public (visible to everyone).

  4. Click Share.

To make a public file non-public

  1. Open the file page.

  2. Click the Sharing tab at the bottom.

  3. Click the x next to Everyone (public).

This only makes the file non-public. People you have specifically shared the file with can still see and work with it.

To make a shared file private

  1. Open the file page.

  2. Click the Sharing tab at the bottom.

  3. Click the x next to all people in all lists.

This makes you the only person who can see or work with the file.
