Manage the Files widget

After adding the Files widget to a community, you can refresh the widget to display the latest file updates, hide the widget, or remove it from the community if it is no longer needed. You can also manage access levels for the community membership. You must be a community owner to perform management tasks for the Files widget.


When you first add the Files widget to a community, all members of the community are granted editor access by default. Depending on your community, you might want to change the access level for your members. Access is always community-wide. Community owners are always file owners and have full access to upload, edit, and delete files, as well as manage file permissions. All other community members can have one of the following access levels:


Community file access levels

Access level Description
Editor Allows users to download and edit files.
Reader Allows users to read files but not to make changes to them.

To manage community files, complete the following tasks as needed.

  1. To edit file access levels for community members, click Edit at the top of the community page and click the Files tab. Make the required changes and click Save. All community members will be granted the same level of access.

    You can also access Edit options by selecting Edit from the action menu.

  2. To expand or collapse the widget content, select Toggle from the action menu.

  3. To refresh the widget and see all of the latest files uploaded or updated in the community, choose Refresh from the action menu.

  4. To hide the Files widget, choose Hide from the action menu and confirm that you want to temporarily remove files from the community. When you are ready to resume file sharing, click Customize to open the content palette, and select Files from the Hidden section of the palette. All content is restored.

  5. To permanently remove the Files widget, choose Remove from the action menu and confirm that you want to permanently remove the widget.

    Choosing this option permanently deletes all of the files previously added to the community.
