Collaborating with other users to complete a task

While working on a task in Process Portal, you might decide that the most effective way to complete the work is to have someone work with you directly on the task. You can send a request to one or more users for them to collaborate with you.


Procedure

  1. Click the down arrow to the right of the task name and select Collaborate from the list of actions.

  2. Enter the name of the user and your message. You must complete a collaboration request for each user that you want to invite to work with you. A collaboration invitation is sent to each of the specified users. When an invited user joins the task, a collaboration bar is displayed above the information for the task. Invited users join in view mode.

  3. Allow an invited user to work on your task. In the collaboration bar, pass the editing rights to your invited user. Although you might have invited several people to help you with your task, you can collaborate with only one invited user in a collaboration session. In addition, only one person can edit the task at any one time. You can end the collaboration session at any time. In addition, if you close Process Portal while someone else is working on your task, the invited user can no longer work on your task.


Results

If you or one of the invited users completes the task, it is moved to your list of completed tasks. Invited users with outstanding invitations can see the completed task on the Details tab for the process but they cannot make any changes to the task.
