Administer the Process Portal task index
The task index allows process participants in Process Portal to search for tasks that contain particular metadata or instance data.
You can run commands to update, rebuild, or search the task index. To change the task indexing behavior you must edit a configuration file.
Task indexing is enabled by default, and tasks are indexed according to a time interval that you can specify. Tasks get indexed when the task is created, assigned, or completed.
For example, process instance data that exists when a task is created or assigned gets indexed with the task, and the task can be found by searching on that data. If a task form consists of several Coaches but only one Coach is complete, the updates from this Coach are not searchable until all the task form is complete.
To make particular business data searchable in Process Portal, use Process Designer to make the appropriate process instance variable available in the search, and to set the search alias name used to search for the business data.
- Update the Process Portal task index
If a problem occurs with the task index, you might need to run a command to rebuild the task index. You can also update the index for a particular task, or remove a task from the index.
- Configure the Process Portal task index
You can change the location where the index is stored by modifying an environment variable. To change the index update interval, include completed tasks in the index, or turn off the task indexing, you must edit the 100Custom.xml configuration file.
