Navigating the authoring portlet

Use different views within the authoring portlet to perform different tasks.


Index views

Use the index views to view lists of items you have access to. The index views you have access to are determined by the level of access you have to a specific library. The items displayed in the index are also determined by the library you have selected.

My items Within this view you can view lists of:

  • recent items (those items you have created, viewed or edited in the current session)

  • draft items (where you are individually specified as an author)

  • items pending approval (where you are individually specified as an author)

  • published items (where you are individually specified as an author)

  • expired items (where you are individually specified as an author)

  • deleted items (where you are individually specified as an author)

Any items that have a group you belong to specified as an author are not displayed in the "draft", "pending", "published", "expired" or "deleted" views. They only display items where you are individually specified as an author.

Content This view displays lists of content items that you have access to grouped into the following sub-views:

  • site area

  • title

  • category

  • authoring template

You can edit the following parameter in WCMConfigService.properties located in the PROFILE_HOME/PortalServer/wcm/config/ directory to determine if expired items will be listed in content views:

wcm.authoringui.contentview.showexpiredcontents= 

  • If set to true, published and expired items will be displayed.

  • If set to false, only published items will be displayed.

  • If not specified this setting defaults to true.

Site area This view displays lists of site areas that you have access to grouped into the following sub-views:

  • site

  • title

Categories This view displays lists of categories that you have access to grouped into the following sub-views:

  • taxonomy

  • title

Components This view displays lists of components that you have access to grouped by element type.
Authoring templates This view displays lists of authoring templates that you have access to grouped by title.
Presentation templates This view displays lists of presentation templates that you have access to grouped by title.
Workflow items This view displays lists of workflows, workflow stages and workflow actions by title.
All items This view displays lists of all items that you have access to. Within this view you can view lists of:

  • draft items

  • published items

  • expired items

  • deleted items

  • items by workflow and workflow stage

This view also displays a lists of external URLs referenced in link elements.

The All Items view should only be used when view a set of items in a group not available in other views, such as when you want to view more than one item type.

For example, you could filter the All Items view to view all items where a specific user is the author.

In libraries that contain large number of items it is more efficient to use the search and filter features within the All Items view instead of browsing through pages of items.


Forms and dialogs

When you create a new item, view an item or edit an item a form opens in a new tab within the authoring portlet.

You can have multiple item forms opened at the same time.

When editing a form, some actions will open as dialogs. These will replace the current view until closed.
