Manage collections | HCL Digital Asset Management

Learn more about creating, configuring, and deleting media asset collections using Digital Asset Management.


Prerequisite

HCL Digital Asset Management should be installed and configured to HCL WebSphere Portal 9.5 Container Release Update CF_181 and higher. See the Install the HCL Digital Experience 9.5 Container components topic for instructions.


Browse and search media assets in a collection

Follow these steps to work with Collections in HCL WebSphere Portal 9.5 Digital Asset Management.

  1. From the HCL WebSphere Portal 9.5 Digital Asset Management interface, click the Collections tab. The HCL WebSphere Portal 9.5 Digital Asset Management interface will then allows us to view previews sets of media assets defined to a specified collection. For example, a curated set of media assets are grouped in a collection named Furniture Gallery as shown below.

    The interface also presents you with the option to create, edit, and delete a new Collection or a new nested collection inside an existing collection.

  2. On the top right, simply click the dropdown before the Settings (gear) icon in order to change how the media assets and/or collections are displayed:

    • Grid View - Displays media assets in an equal-sized thumbnail view. This is the default display view.
    • List View - Displays media assets in a standard list. Use this view to access a media asset when we can recognize the asset by its attributes, such as its title. It also displays:

      • A preview thumbnail of the rich media asset or collection;
      • Collection title;
      • Number of rich media assets in a collection;
      • Date collection was last modified or revised; and
      • Rich media asset or collection author

  3. The Filter option can be selected to filter media asset results by Media or File type as shown in the right side of the HCL Digital Experience 9.5 Digital Asset Management interface. Users can also filter media asset results by File name , Title , Description , or Keywords as shown in the dropdown menu. If looking for a specific media asset that we have Add to Favorites , we can also filter media asset results by switching Favorites option on.

  4. We can also display media assets and collections according to Sort by or Order by option as shown below:

    • Sort by date uploaded
    • Sort by Name (file) in alphabetical order
    • Sort by Type (media asset)
    • Sort by Size (of file)
    • Older to newer file uploaded/saved/edited
    • Newer to older uploaded/saved/edited
    • Order from A-Z (file name, alphabetical)
    • Order from Z-A (file name, alphabetical)


Modify information metadata of a media asset collection

  1. From the HCL WebSphere Portal 9.5 Digital Asset Management interface, hover over a collection and click the Information tab (small i).

  2. On the Information tab, edit the collection name and description when applicable.

  3. Click Save to save changes.


Manage user access permissions of a media asset collection

  1. From the HCL WebSphere Portal 9.5 Digital Asset Management interface, hover over a collection and click the Access tab.

  2. Assign levels for other users to access media items stored within the Collection.

  3. When click Add Administrator, a pop-up window will display Add Users and Add Manager options which will permit addition of these user access levels for individuals and groups defined to the user directory integrated to your Digital Experience platform.

    To open a media asset collection to anonymous users, simply tick to check Give anonymous access to media assets in this collection .

  4. Click Save to save changes.


Delete a collection

  1. From the HCL WebSphere Portal 9.5 Digital Asset Management interface, hover over a collection and click the Delete icon.

  2. A pop-up message will display to confirm your action. This is because you will no longer retrieve a collection, including the media assets, renditions and versions we may have used as the web content once the collection is deleted.

  3. Click Delete to complete request.
