Use file tags
Use file tags to assign keywords that you and others can use to find files or to group files in a meaningful way, such as by project name or function. Then use tags to filter the file search.
We can tag files that you own or files you have Editor access to. We can use tags to filter the search for files by selecting one or more tag names from a list or by typing a tag name.
Use the following procedures to tag one or more files or to search for files using one or more tags.
- Tag a single file
Follow these steps to add a tag to a file:
- Open the file page.
- Click Add Tags.
- Enter tags, separated by a single space or a comma.
The comma is converted to a space.
- Click Save.
- Tag multiple files
Follow these steps to tag multiple files at once:
- Open the My Files or Shared By Me view.
- Check the boxes next to files.
- Click Add Tags.
- Enter tags, separated by a single space or a comma.
The comma is converted to a space.
- Click OK.
- Search for files by tag name
Follow these steps to find files using tags:
- Open any folder or list of files.
- In the Tags or Public tags filter, click a tag in the tag cloud or click Find a Tag, type the tag name and click Search
By default, we can use up to three tag names to filter the display of files in a list view.
For example, in the Shared with Me view, click Find a tag in the Public Tags section and select TagA from the tag cloud to display a list of all available files containing TagA. Type TagB in the tag field to display a list of files containing both TagA and TagB. Type TagC in the tag field to display a list of files containing TagA, TagB, and TagC.
If we entered three tags, each additional tag entered overwrites one of the three previous tags. However, the Files administrator can specify that more than three tags be allowed for this type of filtering.
