How do I edit files?
Download files from a library to edit them.
We can choose whether to check out a file before you edit it. Check out a file locks it so that no one else can replace the file while we are working on it. This functionality allows you to avoid losing edits and encountering conflict errors if you try to replace the file at the same time as another community member.
To edit library files.
- Open the library containing the file to edit and click the name of the file.
- Click Check Out to lock the file. No one else can edit the file while it is checked out.
- A small red lock icon indicates that a file is locked when someone else has checked it out. A gray lock icon with a green key displays when we have checked out the file.
- To unlock the file, click Check In or select More Actions > Delete Draft. When you select Check In, your edited version of the file becomes the current version, and the file is unlocked. Canceling a check out deletes any drafts and unlocks the file.
If draft review is enabled for the library, the Check In option is not available. Instead, we must submit the file for review by clicking Submit for Review. Your file will be checked in when it is approved by the designated reviewers.
- Click Download to download the file and save it to the computer.
- Edit the file on the computer and save the changes.
- Replace the file in the library with the updated version.
- On the summary page, click Upload New Version.
- Click Browse and navigate to the file on the computer.
- Select one of the following options:
- Check In. Replace the current public file with the version on the computer, and then unlocks the file.
If draft review is enabled for the library, the Check In option is not available. Instead, we must submit the file for review by clicking Submit for Review. Your file will be checked in when it is approved by the designated reviewers.
- Update Draft. Replace the current draft file with the version on the computer, and keeps the file locked. When we are ready to make the draft the public version, click Check In.
External users can only see public files that have been shared with them.

We can edit properties for a library file, including custom document type properties, and then upload the updated file to the library.
