To perform a basic search

  1. Select an attribute to search for.

  2. Enter the text to search. We can search for free text and use internet style plus ( + ) and minus ( - ) symbols. We can explicitly search for phrases by enclosing keywords in double-quotes ( " ). We can also specify a trailing asterisk ( * ) as a wild card character in keywords. If you are searching a double-byte character set language enter at least two characters.

  3. Click Search.

A basic search will only search for items in the current view. For example:

  1. if you open a single level view, such as the presentation templates view, we can only search for presentation templates using the basic search.

  2. if you open a multiple options view, such as "My Items | Draft", we can only search for items displayed within this view when using the basic search.

  3. if you open a hierarchical view, such as "Site Areas | By Site | Site A | Site Area A", we can only search for items below "Site Area A" when using the basic search.

 

To perform an advanced search:

  1. Click Advanced Search.

  2. To search for items within a specific index, select Selected path and then click Select Path to specify the path.

    1. Select an attribute to search for. We can choose to search an item's description, title, keywords or all of these.

    2. Select to either search for all words, any words, an exact phrase or none.

    3. Enter the text to search for. When searching "with any of these words" we can use internet style search parameters including plus ( + ) and minus ( - ) symbols, search for phrases by enclosing keywords in double-quotes ( " ) or specify a trailing asterisk ( * ) as a wild card character. If you are searching a double-byte character set language enter at least two characters.

    4. Click Add an entry to add further search queries.

  3. To search for items in all libraries, select All libraries. To search for items within a specific library, select Selected Library and then select a library.

    1. Select the item types to search for.

    2. Select to search either published, draft or deleted items.

    3. Select an attribute to search for. We can choose to search an item's description, title, keywords or all of these.

    4. Select to either search for all words, any words, an exact phrase or none.

    5. Enter the text to search for. When searching "with any of these words" we can use internet style search parameters including plus ( + ) and minus ( - ) symbols, search for phrases by enclosing keywords in double-quotes ( " ) or specify a trailing asterisk ( * ) as a wild card character. If you are searching a double-byte character set language enter at least two characters.

    6. Click Add an entry to add further search queries.

  4. Select options to filter the search with as required. We can filter search results based on:

    1. Click Add an entry to add a filter option. We can filter a search by:

      1. The authors, owners, readers or editors of items returned in a search result.

      2. When an item was created, published, expired or last modified.

      3. The authoring template, category, workflow or workflow stage used by items returned in a search result.

    2. Click Add an entry to add further filter options.

  5. Click Search.

Search indexes are updated periodically. This means newly created items will not appear in search results until the search index has updated.
