Create Content Example

  1. Go to the Web Content Management page.

  2. Click through to...

    Content Library | Content by Site Area | Intranet | IT Home | News and Events | News

  3. Click...

    New button | Content | OK

  4. Select the Detail Authoring Template from the drop-down list:

  5. Navigate through the Site Framework to Intranet Home News and Events. A list of site areas is displayed in the right-hand pane.

  6. Select the radio button next to News, this is to specify the site area to which the content will be linked.

  7. Click OK; the authoring template will be displayed.

  8. Fill in the fields on the Authoring Template for a News item of your choice. Name, Description, Display Title and Summary are all plain text fields and need to be completed. The defaults can be accepted for the other fields.

    • Scroll down to the Body field. This is a rich text field and uses the Portal Rich Text Editor to allow the user to input content in rich text. Enter some news information.

      • Or you can import an .html file which already exists

      • You can import .htm or .html files by clicking on the import button.

    • Alternately, you can explore the capabilities of the Rich Text Editor by creating a table, resizing it, adding and deleting rows and columns, changing text colors, adding URL links, etc. At any point you can view the HTML that has been created by clicking on the scroll icon on the far-right of the editor.

    • Select a Workflow by clicking on the Select Workflow button. All content in IWWCM must go through a workflow process.

    • Select Site Administrators Express Workflow. Click OK.

    • Click Save and choose Save and Close. Wait while the text and images are uploaded to the Web Content Management server.

    • The new News item that you have created should be displayed in the list of News. The green dot indicates that the news is live on the Acme Widgets site. The item has not entered a complex Workflow process as the workflow you selected is the Site Administrators Express Workflow which publishes content straight away.

  9. Preview the new News item by checking the box next to the new piece of content and selecting Preview. Your content should be displayed in a new browser window and should look something like this:

 

Change Web Content Management Preview Options

To display content within Portal we will first need to create a simple Presentation Template; this is to ensure that content is displayed in a way that looks good within Portal and does not conflict with existing Portal elements (logos, menus, etc).

  1. Configure the Web Content Management Local Rendering Portlet to use the a template for previewing content:

    • Select the Content Preview tab (next to the Authoring tab). The Local Rendering Portlet should be displayed (though it is not yet configured).

    • Click the wrench (spanner) icon at the top-right of the Portlet. This opens the Portlets configuration mode.

    • Configure the Portlet with the following settings:

      Content Type: Select the Content radio button.
      Content: Click Edit, then select the Intranet radio button in the right-hand pane, click OK.
      Alternate Presentation Template: Click Edit, then find the PortalPageLayout Portlet template.

      • This may not display on the first page of available templates; scroll through the pages of templates using the buttons at the bottom-right of the page, or go to page two by entering 2 in the Go To Page box and click the arrow adjacent to the box.

      • Select the radio button next to the template and click OK.

      Receive Links From: Other portlets and this portlet.

    • Click OK to save the Portlet settings.

  2. Configure Web Content Management to allow users to preview content inside Portal.

    • Click on the Authoring page to return to the Web Content Management user interface.

    • Click on the wrench (spanner) icon at the top-right of the Portlet to open its configuration mode.

    • Click the + sign next to Previewing Options to expand the preview options section.

    • The Allow Authors to preview content in a Web Page checkbox can be checked if you want users to have the option of previewing content outside of Portal.

    • Select the Content Preview page from the Allow Authors to preview content in the local Portal Pages selected below box.

    • Click OK to save these preferences.

  3. Preview the News Item that you created in using the Presentation Template within Portal.

    • Click the + signs to expand the content tree to view the News site area Content Library Content by Site Area Intranet IT Home News and Events News.

    • Click on News in the left-hand pane to see a list of the News items (displayed in the right-hand pane).

    • Select the checkbox next to your News item that you created earlier, and Click the Preview button.

    • Choose to Preview as a local portal page.

    • Click OK to preview your content within Portal!

 

Filtering and Batch Processing

  1. Filter the Acme Widgets site content to view any content related to IT:

    • Log into the Portal using wpsadmin for the userid and password.

    • Navigate to the Web Content Management page.

    • Expand the + sign next to the Content Library and click the Content By Title link to view all content alphabetically by title.

      NOTE: This view shows all of the content to which a user has at least Read access. In large Web Content Management projects it may be difficult for administrators to work with particular content items unless they filter the view. In this exercise the view is filtered based on a keyword; filters can also be applied that use the author, saved date, status or a combination of the above.

    • Click the Filter link above the Name column to open the filter settings for the name column.

    • Enter the text IT in the Text box and select the Match case checkbox.

    • Click OK. The View should now only display content items that contain the word IT in the title.

  2. Optional exercise: try filtering the content by other fields, such as Date Saved. Also, try filtering content on multiple fields, such as Date Saved and Name.

  3. Use the Batch Processing features to grant access to multiple content items at once:

    • Select multiple pieces of content by Clicking the checkbox next to each piece of content (NOTE: selecting the checkbox at the top of the column selects all of the pieces of content in the view).

    • Click the Edit Security button to edit the security settings for all of the selected pieces of content.

    • Click Add, select Groups in the dropdown menu, and Click Search. A list of Portal groups should be displayed.

  4. Select the checkbox next to the IT_Content_Approvers group. Click OK to work with the access settings for the group.

  5. Change the Access Level dropdown menu from No Access to Edit Access. This will give the IT_Content_Approvers group edit access to the selected content.

  6. Click OK to apply these changes and return to the main user interface. The status of the change should be displayed at the top of the page.

  7. Optional exercise: Select multiple content items and click Read this will open all of the content items at once (you can select the different items by clicking each one in the items bar across the top of the page).

NOTE: When multiple items are selected the Preview button is not available. This is because it is only possible to preview one piece of content at a time.
