Overview

The VLibrary is used to store multiple copies of an item. These can be used to keep a history of the development of an item, or to keep copies of older versions of the current item that may need to be restored sometime in the future.

Note that only items are versioned. The versioning feature of Web Content Management does not take a "snap-shot" of a Web Content Management Site. Only versions of individual items can be saved. Any hierarchical relationships to other items are not saved. For example, if you save a Vof a Site Area that has "child" Site Areas and you delete the "child" Site Areas, the "child" Site Areas will not be restored if you restore the "parent" Site Area.

If you have links to external resources within a Web Content Management item, such as IBM Content Manager resources, Web Content Management does not keep a copy of the external resources in the VLibrary. If you delete the external resource, you cannot use the Web Content Management VLibrary to restore the external resource.

 

Viewing VHistories

The VLibrary can be accessed from within the VManagement section of the Web Content Management Navigator. Each item that has been added to the Version Library is listed only once in the index. To view a list of Versions of an item, select an item from the index and then click the Versions button. A list of Versions is displayed.

  • To view the details of each Version, select a Vand click Read
  • To change the labels the Vis labelled with, select a Vand click Edit Label
  • To restore a Version, select a Vand click either the Restore or Restore as Draft button.
  • To delete a Version, select a Vand click Delete (Administrators and VManagers only.)

 

Adding Items to the VLibrary

When Version Control has been enabled for an item, the Save Version button is added to Web Content Management item forms in "Read" mode. It is not available in "Edit" mode. For Workflow-enabled items, the Save Version button is only available when an item's status is "published".

Click Save Version to save the current version of an item in the VLibrary. You are asked to enter one or more labels (separated by semi-colons) to label the version being made. This Vlabel can be used when batch-restoring items from the VLibrary.

 

Updating the VLibrary. (Administrators and Version Managers only.)

A new version of all version-enabled items in your Site can be saved by clicking the VAll button. This button is available in the VLibrary toolbar. A new version of each version-enabled item type in your Site is saved to the VLibrary. Only "published" items or non-workflowable items that are version-enabled are versioned. You are asked to enter one or more labels (separated by semi-colons) to label the versions being made. This Vlabel can be used when batch-restoring items from the VLibrary.

As this task may take a long time to complete, this happens in the background. You can continue to use the Web Content Management interface as normal.

Note: Using the Version All button on large sites may slow the performance of your Web Content Management Server, so it is best practice to only use VAll during non-peak periods.

 

Restoring single Items from the VLibrary

To restore an item from the VLibrary, select an item from the index and then click the Versions button. A list of Versions is displayed. Select a version from the VHistory dialog and click the Restore or Restore as Draft button.

Restore Restores an item from the Version Library or the Deleted Items archive.

When restoring Workflow-enabled items, the status and position in a Workflow of the restored version will match the status and position in a Workflow of the current item.

Restore as Draft Restores an item from the Version Library or the Deleted Items archive to the first stage of a Workflow. (Only for Workflow-enabled items.)

 

Batch-Restoring a set of Items from the VLibrary. (Administrators and VManagers only.)

The Restore All button is used to batch-restore a set of Versions that have either a common Vdate, or a common VProfile. This button is available on the VLibrary toolbar. You will be asked to select a specific date, or enter a specific label. Any items that match the date, or have that label in their label lists will be restored.

Note: Using "Restore", "Restore as Draft" or "Restore All"

Web Content Management does not check to ensure that restored items are error free. For example, you could restore a Presentation Template that refers to a Component that no longer exists in the Component Library. You can Syndicate your Site to a Test Server (using "all Item Gatherers") and test the restored files first before restoring files on your Development Server. Note: Entering time

If entering a time to use as Restore parameter, enter the time in 24 hour format. Note: Restoring by Date

The "Restore All by date" option restores documents that have been added to the VLibrary on that exact date and time. If no documents were versioned at that date and time, then documents that were added to the VLibrary most recently before that date and time are restored.

 

Profiling a set of Items. (Administrators and VManagers only.)

You can add one or more labels to all the most recent versions of items stored in the VLibrary by clicking the Label All button. This button is available in the VLibrary toolbar. You are asked to enter one or more labels (separated by semi-colons) to label the most recent versions with. This Vlabel can be used when batch-restoring items from the VLibrary.

 

Versioning Workflow-Enabled Items

When versioning Workflow-enabled items, only items with the status of "Published" can be versioned. When restoring Workflow-enabled items, the status and position in a Workflow of the restored version will match the status and position in a Workflow of the current item.
